Sage 100 ERP Chart of Accounts: 4 Steps to Gain Control

You can be the boss of your company’s chart of accounts (COA’s), so new accounts and changes to existing accounts are under your control.  As ERP consultants, we must remind you to not forget to always backup before making any changes!

Here are 4 steps to gain control over your Sage 100 ERP Chart of Accounts:

  1. Control Restrictions in the Sage 100 ERP Chart of Account (COA):  Both the main number + segment(s) make up the account numbers.  You can control the restrictions for  how new accounts come into existence by turning on  the option for “on the fly additions” in the menu options for general ledger.  Using t he general ledger utility to “generate new accounts” to create a new account is basedon valid main and valid segment combinations.  Further, restrict users allowed to access account maintenance.
  2.  Repair existing Sage 100 ERP accounts: There are two utilities available for assisting you with renumbering accounts and merging accounts.  Navigate to the general ledger menu, under utilities, chosing  either Delete Accounts or Change Accounts.
  3. Correct account descriptions:  Some businesses like proper case while others prefer all upper case descriptions.    You can correct this in account maintenance.  Also, you may wish to correct segment descriptions in your descriptions for uniformity.
  4. Restructuring your COA:  you may find that you did not allow enough range of account numbers in any particular segment of your COA (for example, current assets).  You can modify this in setup, account group maintenance to expand or contract an account group.
